College Park Day Community Exhibitor & Vendor Registration

  1. Event & Registration Details

    College Park Day will be held on Saturday, October 15, 2022, from 12:00 to 6:00 p.m. at the College Park Aviation Museum and Airport (1985 Corporal Frank Scott Drive) in College Park, Maryland.

     This is the City of College Park’s signature event and features a wide array of activities, entertainment, and fun to celebrate the community.

     The event is open to the public and free to attend.  Live bands will perform on a main stage and other entertainment features include kids’ zones with obstacles courses and a bounce house, a climb wall, arts and crafts activities, sponsor tents, community exhibitors, and vendors.  Food and drink vendors will provide refreshments.  The College Park Aviation Museum offers free admission on College Park Day.  Close to 8,000 attendees are expected during the six-hour event.  This crowd estimate is based on prior attendance patterns. 

    Completed registration materials for Community Exhibitors & Vendors are due by Friday, September 16, 2022.  A registration fee of $50 is also due with the registration materials. If you are a non-profit community organization there is no registration fee.

     Due to spacing constraints at the venue only a limited number of Community Exhibitor & Vendor booths are possible.  Priority consideration will go to entities with a presence in the City of College Park and/or to exhibitors/vendors that offer an interactive activity that engages festival participants.  Vendors wishing to sell non-consumables (I.e., jewelry, body lotions, knits, or ceramics) will not be considered. Also, vendors selling commercially manufactured or mass-produced items will not be approved.   

    Vendors will pay the $50 after their application has been approved.

  2. Terms & Conditions

    College Park Day has the right to approve or disapprove any registration packet.  Space is limited and priority consideration will be given to entities with a presence in the City of College Park and/or to vendors/exhibitors that offer an interactive activity that engages festival participants.  All vendors need to be in current compliance with all City and County requirements, as applicable.

    Compliance with Prince George’s County Requirements:  

    Vendors are responsible for complying with all requirements set forth by the Prince George’s County Fire Marshall and Department of Health standards.   

    Setup/Breakdown/Cleanup:  

    All vendors must be set up and ready to sell by 12 noon on College Park Day.  Specific setup/breakdown/cleanup requirements will be provided prior to the event and must be followed. Late arrivals may forfeit their booth space without refund. Break down can start no sooner than 6pm and must be completed by 7pm.  No booth may close before the official closing time. Booths must be staffed at all times.  Upon conclusion of the event, all exhibitors and vendors must remove all associated items including trash from event premises.

    Parking & Vehicle Access:  

    No vehicles are allowed to remain in the festival area after set-up. Vehicles will not be allowed to enter or exit the festival area until after the festival has concluded and when it is deemed safe for pedestrian traffic.

    Exhibitor/Vendor Spaces & Rules:  

    Vendor/Exhibitor spaces are 10’ by 10’ unless specified otherwise.  One rectangular (6’ x 2.5’ table) and 2 folding chairs will be provided.  No canopy or tent will be provided.  Vendors are responsible for securing or stabilizing their own tent or canopy with 25lb weights on each leg of the canopy.  The College Park Day Committee has the right to ask a vendor to remove their canopy if they do not have the proper weight.  This is an outdoor event and electricity is not available.  

    Generators are not allowed unless pre-approved.  You must notify event organizer at registration of any needs you cannot take care of without assistance to check and see what arrangements might be possible.  There are no guarantees for special requests.

    Vendor space will be assigned.  Your space may be on either grass or pavement.  Changes to vendor locations during the event will not be allowed. 

    Payment:   

    The full non-refundable payment of $50 is due once approved by the College Park Day Committee unless you are a non-profit community organization.   The event will be held rain or shine.    College Park Day has the right to cancel the festival at any time and shall not be held liable for damages, claims, expenses, or losses because of the cancellation.  No refunds will be made for weather, accident, health, or other causes for non-participation, including exhibitor/vendor decisions about weather.

    Indemnification & Responsibility:  

    Exhibitors/Vendors are responsible for their own insurance.  They are responsible for protecting their own event space and items contained and displayed in their space.  Exhibitors/Vendors agree to indemnify and hold harmless the City of College Park and the venue site from and against any loss, expenses, claims, damages, causes of action, injuries, suits, including attorney’s fees, arising out of, or related to participation at College Park Day.  

    Exhibitors/Vendors can be required to leave during College Park Day for non-compliance of Terms & Conditions.
